What Permissions Can You Give a Team Member in Indexync?

Category: Team & Permissions•Last updated: 9/18/2026

You decide what each team member can do in Indexync. For each section, such as Products, Orders, or Inventory, you pick View or Manage. View lets them look without changing anything, and Manage lets them make changes too. Save your choices as a role and give it to the team member, or start from one of 5 ready-made roles, like Warehouse or Bookkeeper. If they open a page their role doesn't cover, they see a message asking them to request access from you.

Applies to: All plans. Seat limits vary by plan; see Seat Limits by Plan.

Before You Start

You need to be the workspace owner to create, edit, or delete roles. The role editor lives in Settings > Team, under Roles. If you haven't invited anyone yet, start with Inviting and Managing Team Members.

What Each Role Can Control

A role decides exactly what a team member can see and do, so you can hand off day-to-day work without handing over everything. Indexync groups these permissions by section, such as Catalog, Orders, and Inventory, each with a View option and a Manage option:

Role editor for Warehouse: View products and listings, View stock levels and View orders ticked and marked Required, alongside Manage stock levels and Manage orders

SectionOptionWhat it means
CatalogView products and listingsSee products, listings, prices and stock
CatalogManage products and listingsCreate, edit, import, sync and delete products, listings and media
InventoryView stock levelsSee on-hand quantities, movements and sync rules
InventoryManage stock levelsAdjust quantities, link SKUs and set bundle rules
OrdersView ordersSee orders and buyer details

ReturnsView returns and refundsSee cancellation, return and refund requests
ReturnsManage returns and refundsApprove or reject returns and refunds

Billing never appears in this table. It's owner-only; no role, permission, or combination of them can grant it.

What Comes With a Manage Permission

If someone can change something, they can also see it.

  • Tick a Manage option and Indexync switches on every View option it needs automatically, marking each one Required.
  • A required box can't be unticked until you untick whatever depends on it.
  • A role needs at least one box ticked; Indexync won't let you save one with nothing selected.

Example: you start from the Sales & returns role, then untick Manage returns and refunds because a new hire should only look up requests, not approve them. Indexync keeps View returns and refunds ticked, since Manage no longer needs it but the hire still needs to see the requests.

The 5 Ready-Made Roles

Ready-made roles save you from building common roles from scratch. Pick one, then rename it and tick or untick boxes before saving; nothing stays locked to the original afterward.

New Role template picker: Select Myself plus the 5 templates (Warehouse, Catalog editor, Sales & returns, Analyst, Bookkeeper)

  • Warehouse: Manage orders, Manage stock levels (plus View orders, View stock levels, and View products and listings).
  • Catalog editor: Manage products and listings, View stock levels (plus View products and listings).
  • Sales & returns: Manage orders, Manage returns and refunds (plus View orders, View stock levels, View products and listings, and View returns and refunds).
  • Analyst: View sales analytics (plus View orders and View products and listings).
  • Bookkeeper: View payouts and fees (plus View sales analytics, View orders, and View products and listings).

Click + New Role in Settings > Team > Roles, then pick one. Role names must be unique per workspace, and that applies here too: if you already have a role called "Warehouse," picking the Warehouse role asks for a different name.

Creating and Naming Your Own Role

Click + New Role, then Select Myself to open a blank editor instead of a ready-made one. Tick the boxes for what this role should see and do, name it, and click Create Role.

  • Names must be unique per workspace, case-insensitively: "Packer" and "packer" count as the same name, and a duplicate is refused inline under the Role name field.
  • Editing a role people already hold shows how many members have it, so you know the changes apply next time they load the app.

Deleting a Role

Indexync makes sure nobody is left without a role before it lets you delete one.

  • If nobody holds the role, click Delete Role and confirm; it's removed.
  • If any members hold the role, you must pick another role to move them to first. Once you do, the confirm button changes to Move Member and Delete.

See Inviting and Managing Team Members for more on assigning roles to people.

What a Team Member Sees

  • A Role label in the sidebar names their current role.
  • A personal Account page, showing only their own name and password; billing and business details stay owner-only.
  • Personal notifications, since email preferences belong to the signed-in person, not the workspace.
  • A message on locked pages, asking them to request access from the workspace owner.

A team member with the Warehouse role opens Analytics: the sidebar shows Role: Warehouse and the page shows the request-access message instead of any data

Example: a packer with the Warehouse role clicks an old bookmark to the Analytics page and sees the request-access message instead of the dashboard.

Troubleshooting

A team member can't see a page they need. Check what their role grants in Settings > Team > Roles, then edit it (or assign a different role) to add the missing permission.

I can't untick a box. Something you've ticked still needs it; Indexync marks it Required. Untick the dependent boxes first.

I can't save a role. The name is empty or already taken (shown under the Role name field), or no permission boxes are ticked.

I can't delete a role. Members still hold it. Pick a role to move them to; the button becomes Move Member and Delete once you have.

FAQ

What's the difference between View and Manage?

View lets a team member see a section, like Products, Orders, or Inventory, without changing anything. Manage adds the ability to create, edit, or act on it, and always includes the matching View.

Can I create my own role instead of using a ready-made one?

Yes. Click + New Role, then Select Myself for a blank editor. Tick the boxes you want, name the role, and save it.

What happens to a role's members if I delete the role?

If anyone still holds it, Indexync asks you to pick another role to move them to first. If nobody holds it, it deletes right away.

Can two roles have the same name?

No. Role names must be unique per workspace and aren't case-sensitive: "Packer" and "packer" count as the same name.

What can a team member see about billing?

Nothing. Billing is owner-only; no permission or role can grant access to it.
