Adding Media to Product Listings

When you're filling in an image or video field on a product or listing, you can pick straight from your Media Center library instead of uploading from disk every time. The picker only shows media that fits the requirement for where you opened it, and that requirement is computed live from the marketplaces you've actually connected, not a fixed rule.

All plans. You'll want media already uploaded to Media Center; see Upload Images or Upload Videos if you haven't yet.

The Add Image tile: your two options

Every image field shows a box labeled Add Image with both options already visible, nothing to click to reveal them:

  • Local File: pick a file from your computer. It uploads to Indexync and joins your Media Center library at the same time.
  • Media Centre: pick from media you've already uploaded. Faster, and lets you reuse the same shot across multiple listings without re-uploading.

Opening the picker

Click Media Centre on any image or video field. The picker opens as a window with your library on the right and your folder tree on the left, titled Select Images or Select Videos.

What you see in the picker

Folders on the left, tiles on the right, a search bar at the top. Each tile has a checkbox for multi-select. Tick the tiles you want, then click Add Selected at the bottom right to attach them all at once; the button shows how many you've picked.

Why the picker hides some of your images

The picker only shows images that fit the aspect ratio required where you opened it from, and that requirement isn't fixed:

  • On the Master product tab, the requirement is the strictest combination across the marketplaces this product is actually connected to.
  • On a marketplace channel tab, the requirement is just that one marketplace's own rule.

Connect only Shopify and the master accepts a flexible range. Connect Lazada too and the master tightens to square (1:1) images, because Lazada only accepts square. The two panels below are the same "Product Images" panel on the same tab; the only thing that changed is which channels are connected.

If an image you uploaded doesn't appear, it's almost always the aspect ratio. Check which channels the product is connected to, and read the requirement shown above the Add Image box.

Example: two sellers each open the same product's Master tab. One has only connected Shopify, and sees "Flexible": any reasonable aspect ratio passes. The other has also connected Lazada, and sees "1:1 (square)": the exact same panel, a different requirement, because Lazada's square-only rule now has to be satisfied too.

Master images versus channel-specific images

Most listings inherit their image from the master product. When you pick a master image, every marketplace uses it by default.

If you want a different image for one marketplace, open that marketplace's tab and use the picker there. It's optional there, so leaving it empty just falls back to the master image. The image you pick overrides the master for that marketplace only; every other marketplace keeps using the master.

Example: you have a square hero shot used as the master image. You want a tall 3:4 product-on-model shot specifically on Shopee. Open the Shopee tab, add the 3:4 shot there. Shopee now uses that shot; Shopify, Lazada, and TikTok Shop still use the master.

Picking videos

When a field accepts video, Add Video opens the video picker the same way images do. Aspect-ratio and size rules apply the same way. On the Master tab, a video shows up if at least one connected channel has it ready or processing; on a channel tab, it only shows up once that specific channel has it ready or processing.

Everywhere else you can open this picker

The same picker also opens from a few other places, with the same filtering rules:

  • SKU and variation images, when you're setting a photo for a specific size or color.
  • Description images, when inserting a photo into a product's rich-text description.
  • Certification files, when attaching a compliance document to a listing.
  • Size charts, on Lazada, Shopee, and TikTok Shop's own tabs.
  • The bulk-update editing table (the spreadsheet-style view for updating many listings at once), when swapping an image for one SKU at a time across many products.

Troubleshooting

An image I uploaded isn't showing in the picker

Check which marketplaces the product is connected to, then read the requirement shown above the Add Image box on the tab you're on. On the Master tab, connecting an additional marketplace can tighten the requirement for every image you pick there. On a channel tab, only that one marketplace's rule applies.

To fix it: open the image in Media Center, check its dimensions, then upload a cropped version at the right aspect ratio. See Manage Your Images.

A video isn't showing in the video picker

Videos are hidden from the picker while they're still processing for the channel you're picking on. Wait a few minutes and reopen the picker, or check the video's status in Manage Your Videos.

I selected media but nothing was attached

Make sure you clicked Add Selected before closing the picker. Closing it without confirming discards the selection.

FAQ

Why doesn't my image show up when I try to add it to a listing?

The picker filters by aspect ratio, and the requirement depends on where you opened it. On the Master tab, it's the strictest combination across the marketplaces the product is connected to; on a channel tab, it's just that marketplace's own rule. Check the requirement shown above the Add Image box, then crop or replace the image to match.

Why do two sellers see different requirements on the same Master product tab?

Because the requirement is computed from each product's own connected marketplaces, not fixed. A product connected only to Shopify shows a flexible requirement; add Lazada and the same panel tightens to square images only.

What happens to other marketplaces if I set a different image just for Shopee?

Nothing changes for them. A channel-specific image only overrides the master for that one marketplace; every other connected marketplace keeps using the master image.

Why is a video missing from the picker?

It's still processing for the channel you're picking on. Give it a few minutes, or check its status in Media Center.

Can I use the same picker for SKU images or a size chart?

Yes. SKU and variation images, size charts, certification files, description images, and the bulk-update editing table all open the same Media Center picker, filtered the same way.
